Venue Reservations

ASCIT

ASCIT oversees several rooms in the basement of the Undergraduate South Houses:

  • ASCIT screening room (SAC 13)
    • Amenities: Large television, couches
    • Max capacity: 15?
  • Club Room A (SAC 34)
    • Television (small), chairs
    • Max capacity: 25?
    • Popular for: meetings
  • Club Lounge (SAC 65)
    • Tables, chairs
    • Room is shared with DDR (arcade) machine
    • Max capacity: 40?
    • Popular for: meetings, gaming

ASCIT membership is needed to reserve the screening room; access is granted via Caltech ID. A club account on the donut site is needed to reserve the others; access to these is on the South Master key.

It is also rare, but possible to hold events in the coffeehouse and SAC courtyard. Contact the ASCIT Secretary or the coffeehouse manager.

Athletics

  • Braun Gym (the "new gym") oversees reservations for several squash and racquetball courts, a basketball gym, and an aerobics room. All have hardwood floors, and the aerobics room has one mirrored wall.
  • Brown Gym (the "old gym") oversees reservations for their basketball/multipurpose gym and tennis courts.

General hours of use during the academic year are MONDAY-THURSDAY 6 a.m.-midnight, FRIDAY 6 a.m.-10 p.m, and SATURDAY & SUNDAY 8 a.m.-7:30 p.m. These may vary with particular facilities. Check the hours listing.

Athletics facilities are usually heavily booked on weekday evenings, though weekday mornings and Friday/weekend evenings are often open. You may still have to share the facilities with regular (walk-in) users.

In the past, non-athletic events such as department parties and community displays have been held in Brown Gym, displacing normal classes and community use. These probably require connections or extremely early reservations.

Beckman Institute

Beckman Institute (Bldg. 74 on the map) is separate from the Beckman Auditorium wedding cake.

Caltech Y

The Caltech Y facilities (Bldg. 56) are often reserved for meeting on weekends and after hours. They also offer restroom and kitchen facility access.

    • Amenities: Couches, chairs, TV, VCR, dry erase boards
    • Ideal for small groups (15-20)
  • Y Multi-Purpose Room
    • Stackable chairs, folding tables, dry erase boards
    • Max capacity: 50

Reservation periods begin:

  • Winter - November 30
  • Spring - February 30
  • Summer - May 30

Catering

Catering oversees reservations for the following:

  • Winnett Lounge
    • Amenities: stackable chairs, foldinng tables
    • Can be cleared for athletic, dance, and other events
    • Max capacity: 144
    • Popular for: parties, dance events
  • Winnett Clubroom 1
    • Folding tables and chairs
    • Can be cleared for athletic, dance, and other events (but floor space is limited)
    • Max capacity: 52
    • Popular for: larger meetings

Reservations for regular (weekly) events can be made for an entire term, but fill up quickly and should be made as soon as possible (in the previous term or at beginning of the year). Weekday evenings are usually booked solid, but weekends (especially Sunday) are freer.

Catering usually notifies Security of your event so they can unlock it for you. If the room is locked, call x4701.

Housing

  • Avery Library
    • Amenities: Tables, chairs, 2 projection screens
    • Suggested capacity: 13 (but it is possible to accommodate groups of up to 60 by adding folding chairs).
    • Popular for: Parties, meetings
  • Avery Conference Room?
  • Catalina Rec Rooms?
    • Outdoor barbecues, patio furniture, ping pong, foosball, pool tables, large-screen cable TV, VCR, stereo equipment, kitchenette and fireplace.
    • Available for graduate student events

Library

  • Group study rooms and a conference room are available at Sherman Fairchild Library. These rooms may be ideal for small meetings. A full list of room features and usage guidelines are available at the CLS Room Reservation site.
  • A natural outdoor amphitheater is located on the east side of Sherman Fairchild Library.

Public Events

Caltech Public Events is in charge of reservations, programming, and production for all events held in Beckman Auditorium, Ramo Auditorium, Dabney Lounge, and Beckman Mall. Complete specifications and photos are available at their venue listing website.
